Weekly progress reminders

Pick when your working week ends. Nexa will remind you to update progress on every live programme, and you can add the same reminder to your phone's calendar.

Reminder in Nexa

When you open Nexa after this time, any programme that hasn't had progress entered that week is flagged, with a banner on the programme and a count on this tab.

Notification on your phone

Add a repeating weekly event to your calendar, so your phone alerts you even when Nexa isn't open. It uses the day and time above.

Add to Google Calendar Outlook or iPhone: create a weekly event called Update Nexa progress on Fridays at 15:00 with an alert.

How to use Nexa

Getting started

  1. Click the company button (top right, it shows your company name) and add your company name, logo and contact details. They go on every PDF and report.
  2. Click New to start a programme, or Import PDF to read in a programme from Asta or Project.
  3. Fill in the bar at the top: programme name, main contractor, ref, revision and report date.
  4. Everything saves by itself. Look for Saved on the right of the toolbar.

Adding and moving tasks

  1. Click Task or Milestone to add one under the selected row.
  2. Click any cell to type in it: name, duration (working days), start or % done.
  3. Indent makes a task sit under a heading. Outdent moves it back out.
  4. Move a task with the up and down arrows, or drag its line number.
  5. Made a mistake? Click Undo.

Selecting several rows

  1. On a computer: Ctrl+click line numbers to pick rows, or Shift+click to pick a range.
  2. On an iPad or phone: tap Select, then tap the line numbers.
  3. A bar appears where you can link them, indent, set % done or delete them all at once.

Linking tasks

  1. Links make the programme move by itself. Push one task back and everything after it follows.
  2. Quickest: click Auto-link to link everything in the order it's listed.
  3. Drag: drag from the end of one bar onto another bar.
  4. From part-way along a bar: turn on Link mode (or hold Shift) and drag from any point.
  5. Type it: in the Links column, type the line number, e.g. 4, 4SS+2 or 4FF.

Weekly progress and slip

  1. Once the programme is agreed, click Save baseline. This is what slip is measured against.
  2. Each week, set the report date, then type the % done for each task you've worked on.
  3. Planned shows where you should be. Slip shows how many working days late (+) or early (−) a task will finish.
  4. Vs baseline shows how far the plan has moved since the baseline was saved.
  5. Drop lines show the lag at each week on the chart. Click it to turn them on or off.

Delays and photo evidence

  1. Click a task. The details panel opens at the bottom.
  2. Pick a Delay cause and write notes: what happened, when, who was told, RFI or instruction numbers.
  3. Add photos as evidence. Nexa saves the date, time and location with each one.
  4. To remove a photo, open it and click Delete photo.

Shutdowns and holidays

  1. Bank holidays are already set.
  2. Click Calendar to add Christmas or other site shutdowns. Tasks skip those days.

Reports and exports

  1. Weekly report: a progress report for the main contractor, with the full programme at the back.
  2. Export PDF: the programme with your logo and details.
  3. Export Excel: a spreadsheet you can import into Asta Powerproject.

Reminders

  1. Open the Reminders tab and choose your day and time, e.g. Friday 15:00.
  2. Nexa flags any programme that hasn't been updated that week.
  3. Click Add to Google Calendar so your phone reminds you too.

Your team

  1. Open the Team tab and click Copy invite message. Send it by email or WhatsApp.
  2. They sign up, choose Join your company and enter the code.
  3. Everyone in your company sees the same programmes. Other companies never see them.
  4. If the code gets shared too widely, click Issue a new code. The old one stops working.

Use it like an app

  1. Click your initial (top right) and choose Install Nexa as an app.
  2. On iPhone or iPad: open Nexa in Safari, tap Share, then Add to Home Screen.

Approving sign-ups (admins only)

  1. New people wait for approval. A number shows on the Admin tab when someone is waiting.
  2. Open Admin and click Approve or Decline. Remove access blocks someone later.
  3. Choose Only new companies if staff with an invite code should get straight in.

Auto-link tasks

Links each task to the one listed above it, finish to start, so the programme follows the order you've set out.

Options

Overlapping tasks get a start-to-start link with the right lag, and gaps between tasks become lags, so nothing moves. Untick for plain finish-to-start links, where each task waits for the one above to finish. Leave this off where groups run at the same time, e.g. different floors with separate gangs.

Working calendar

Monday to Friday, excluding England & Wales bank holidays. Add shutdowns and site closures for this programme.
